BUYING CLASS CREDITS AND CREDIT CARD INFORMATION

When you buy class credits, memberships, or packages from Harlem Pilates, you agree to our terms and conditions in full. Clients may elect to keep a credit card on file using their Harlem Pilates account. By placing a card on file, the cardholder and account holder permits Harlem Pilates staff to charge the card for any in-studio purchases made by the client unless the client provides an alternate form of payment.

BOOKING A CLASS 

Online bookings are required for all classes and appointments.

To book a class at Harlem Pilates you must create an account and purchase a credit for a single class, a class package, or a monthly membership.

SEMI-PRIVATE SESSION POLICY

At Harlem Pilates, we value your desire for personalized attention during your Pilates sessions. Our semi-private sessions are designed to provide a balance between individualized instruction and a small supportive group environment.

If you book a semi-private session and find that you are the only attendee, our policy is as follows:

In the event that no other participant joins your semi-private session, you will be charged at the rate of a private appointment. This ensures that you receive the focused attention and benefits of a private session.

CANCELLATIONS

At Harlem Pilates, we host small classes to ensure that every client receives personalized attention. Out of respect for community members on the waitlist, we have a strict cancellation policy in place.

If you need to cancel your spot in class, you must cancel 12 hours before your scheduled class.

Please note that all cancellations or changes received via email are not valid. All cancellations or changes must be managed online at least 12 hours prior to your booking to avoid forfeiting your credit and being charged a fee. 

  • Early cancellations: Changes made before 12 hours of the booking time are considered early cancellations and are eligible for a full credit.

  • Late cancellations: Changes made within 12 hours of the booking time are considered late cancellations. Late cancellations are not eligible for a credit or refund.

  • No-shows: If you miss an in-person reservation and do not cancel the booking, this is a no-show. No-shows are not eligible for a credit or refund.

  • Private Session no-shows & late arrivals: All time lost due to late arrivals will be forfeited.  Late arrivals of over 15 minutes and no-shows will be considered late cancellations and are not eligible for a credit or refund.

Thank you for honoring our 12 hour cancellation policy for all bookings.

FEES

Fees are established out of respect for our waitlisted clients and implemented to ensure that when one of our members reserves a spot, there is full intention of attending the class. 

No Show Fee: $20 

Late Cancel Fee: $10 

Penalty fees are automatically applied to the card on file for no show or cancellation outside of the 12 hour cancellation window. 

We do not give refunds or return credits for any classes that you miss. 

ARRIVAL TIME 

Please arrive 5 minutes early for a smooth check-in experience.

LATE ARRIVALS

Please note that we can only hold your spot for up to 5 minutes after the class starts as a courtesy. After the 5-minute grace period, you will not be allowed to enter the studio for safety reasons.

We do not give refunds or return credits for any classes that you miss. 

WAITLISTING

If a class is full, you can choose to be added to our waitlist. You will only be charged if you make it off the waitlist. If you’re not added to the class that you’re waitlisted for, the credit will remain in your account for use at a later time. You will automatically be notified if you make it off the waitlist, up to 1 hour before the class begins. Please turn your notifications on and monitor your email.

We kindly ask that you manage your spot on the waitlist and remove yourself from the waitlist if your schedule changes.

  • Under my classes, you will see upcoming, waitlist, and past classes. 

  • Next to the waitlist classes, click the three vertical dots located next to the class, “remove yourself” from the class.

  • Click yes to confirm removing yourself from the waitlist.

App

  • Select the class under "upcoming for you"

  • Click "leave waitlist"

RETURN AND EXCHANGE POLICY

All sales are final sale.

Classes, class packages, memberships, merchandise, and event tickets are non-refundable and non-transferable. We do not accept returns or exchanges on retail items.

CLASS CREDIT EXPIRATIONS

All of Harlem Pilates' class credits have a limited usage window.  New client intro credit expires 30 days from date of purchase. Single class credit expires 14 days from date of purchase. 3 Class Pack credits expire 30 days from date of purchase. 5 Class Pack credits expire 45 days from date of purchase. 10 and 25 Class Pack credits expire 90 days from date of purchase. All package credits are non-transferable.

Class credit expiration dates expire from date of purchase. If you cancel your class within the cancellation window the credit expiration date does not change. If credits expire without use you must purchase new credits. We do not provide credit extensions for expired credits.

MONTHLY MEMBERSHIP

When you purchase a monthly membership from Harlem Pilates, you agree to our terms and conditions in full. Monthly members are required to keep a valid credit card on file. By purchasing a monthly membership, the cardholder and account holder permits the Harlem Pilates staff to charge the card every 30-days for their membership fee and any in-studio purchases made by the client unless the client provides an alternate form of payment. If your credit card declines, you have a 3-day grace period to make a payment before we freeze your pass.

Monthly membership is available with auto-renewal only. Unused class credits do not rollover to the next month.

MEMBERSHIP CANCELLATION

You may cancel this Membership Agreement online at any time. To cancel your membership you must submit the cancellation request online before the date of your next billing payment.

Failure to provide timely notice will result in a charge for the total amount of your next billing payment and the cancellation will take effect the subsequent month.

CHANGES TO THIS AGREEMENT

Harlem Pilates may update or revise this Agreement from time to time at its sole discretion. All changes are effective immediately when we post them, and apply to all access to and use of the Sites thereafter. Your continued use of the Sites following the posting of the revised Agreement means that you accept and agree to the changes. You agree to review this Agreement periodically so you are aware of any changes, as they are binding on you. Except as otherwise expressly stated by Company, any use of the Services is subject to the version of this Agreement in effect at the time of use.
